MODXpo 2022 Terms & Conditions

When purchasing a ticket to the MODXpo 2022, you agree to these terms.

MODXpo 2022 is organized by modmore ("Organizer"), Oenemastate 14, 8926PR, Leeuwarden, The Netherlands and takes place at Van der Valk Hotel Arnhem ("Venue"), located at Amsterdamseweg 505, 6816 VK, Arnhem, The Netherlands.

Tickets

1. Organizer offers a number of different ticket types to the Event.
   
   1. Standard Tickets give attendee access to the main conference from 9:30 to 18:00, access to the coffee corner(s) at the Venue with unlimited non-alcoholic drinks and snacks (stock may vary) during the conference hours, access to the lunch buffet in the Venue restaurant (ground floor) between 12:00-14:00, the live stream and one month exclusive access to video recordings, and access to the social event starting at 18:00 in the Venue bar (basement) which includes dinner and open bar until 21:00.
      
   2. Standard Tickets without Social Event gives attendee access to same benefits as the Standard Tickets, however does not include access to the Social Event starting at 18:00.
      
   3. Agency Tickets are equivalent to Standard Tickets, and include a €90 sponsorship.
   4. Partner Tickets only give access to the social event starting at 18:00 which includes dinner and open bar until 21:00. Partner tickets may only be booked with an equal or higher number of Standard or Agency Tickets.
      
   5. Video/Online Tickets only give access to the live stream and one month exclusive access to video recordings.
2. With the exception of the Video/Online Tickets, ticket prices are inclusive of 21% Dutch VAT. Due to the nature of the event, the Reverse Charge zero-rated mechanism for business-to-business sales in the EU, or local VAT rates for consumers in the EU, do not apply to ticket sales or sponsorships.
   
3. Organizer reserves the right to change the price and/or included benefits of tickets. Should certain advertised benefits no longer be available to attendees, Organizer will notify them and attendees may request a refund within 7 days. 
4. Tickets are confirmed only when payment is received in full. Tickets can be paid online with immediate confirmation through various payment options.
   
   1. Larger bookings, and/or those including sponsorship, may be billed by invoice instead of through the online ticket portal. Tickets are temporarily reserved when booked this way. Tickets that remain unpaid after 21 days or 14 days prior to the start of the event (whichever is sooner) may be cancelled by Organizer without notice, with the tickets being released for purchase on the website.
      
   2. If the event is fully booked and there is a wait list, Organizer may demand payment to be made in full within 7 days to confirm ticket bookings.
5. Booked and fully paid tickets may be cancelled or changed to a different type, including changing an in-person ticket to a video ticket or assigned a ticket to a different person.
   1. All cancellations and all ticket changes are at no cost until June 17th, 2022.
      
   2. Upgrades (e.g. from Video/Online Ticket or Standard Ticket without Social Event to Standard Ticket) are at no extra cost beyond the difference in price for the previous and new ticket type. After June 27th, upgrading may be accepted at Organizers' discretion if available, however not all benefits may be available after this date.
   3. Downgrades between June 17th, 2022 and June 27th, 2022 costs 25% of the change in ticket price, which for Agency Tickets is based on the non-sponsorship portion of the ticket price of €109 (or €119 if booked after May 27th 2022).
      
   4. Cancellations between June 17th, 2022 and June 27th, 2022 costs 40% of the paid ticket price.
   5. A no-show or cancellation after June 27th 2022 will not be eligible for refund.
      
   6. If repeated ticket changes are requested for a single booking, Organizer may at its discretion charge a €15 + VAT administrative fee for the second or subsequent change requests.
      
   7. If a ticket change results in a refund, Organizer will refund the total minus any fees or cancellation/change costs within 14 days.
      
   8. If a ticket change results in additional costs, Organizer will issue an invoice at its earliest convenience which must be paid in full within 14 days or no later than June 27th, 2022, whichever is sooner.
6. In the event of a positive COVID test affecting the attendee or their first-order family or housemates, or COVID-related travel restrictions being put into effect in the Netherlands or Attendee's country/region (announced after June 10th, 2022) that prevent the attendee from attending the conference, Organizer offers a no-cost downgrade to a Video Ticket and a refund of the difference within 14 days.
   
   1. Organizer may request proof of a positive test or restrictions being put in place. Attendee makes sure to secure proof, for example by taking a picture of the positive test alongside a paper with the current date/time written on it.
      
   2. If downgrading from an Agency Ticket, the downgrade only affects the non-sponsorship portion of the ticket. The sponsorship benefits promised remain in effect.
   3. A positive COVID test must be notified to Organizer no later than 9am CEST on July 8th, 2022, with proof of the positive test provided no later than 9pm CEST on July 8th 2022. 

Conference Content

1. Organizer is committed to providing an interesting conference with a variety of topics and speakers. Speaker profiles, descriptions of talks, and schedules/timetables may be provided on the website or other materials as an indication, however Organizer may make changes to any content, timing, speaker or other detail as necessary. That may include speaker changes or cancellations. Any such changes are expected and are not cause for cancellation.
2. While Organizer aims to provide a full program from 9:30-18:00, it is possible we are forced to diverge from the schedule or timetable. Organizer is committed to providing alternative content or activities to fill any last-minute cancellations to the extent which can be reasonably expected.
   

Recordings & Live Stream

1. Organizer and its partners will be making video and photo recordings throughout the event. Organizer and its partners may also produce an after movie or other edited video formats derived from the conference day including selected snippets of the talks, social event, venue, etc. In-person attendees, speakers, staff, and anyone calling in remotely give express permission for their likeness to be included in such recordings and edited formats to be published and/or streamed online or on other media.

Safety Policies

1. The Code of Conduct and COVID Policy are explicitly part of these terms. Failure to comply with the safety policies is grounds for expulsion of the conference and/or venue without refund.
