MODXpo 2027 Terms & Conditions

When purchasing a ticket to MODXpo 2027 ("Event"), you agree to these terms.

MODXpo 2027 is organized by modmore ("Organizer"), represented by Mark Hamstra, Tijnjedyk 19, Unit 8531, 8934 BT Leeuwarden, The Netherlands (KvK: 52454606, VAT: NL001103641B07). The Event takes place on April 22nd, 2027 and April 23rd, 2027 at Z Leeuwarden ("Venue"), Zaailand 106, 8911 BN Leeuwarden, The Netherlands.

Tickets

1. Organizer offers different ticket types to the Event, including in-person tickets and Online Tickets. Each ticket grants access to (part of) the Event as described on the tickets page and in the confirmation email.
2. Prices for in-person tickets include 21% Dutch VAT. Prices for Online Tickets are shown excluding VAT; VAT is charged where applicable based on the buyer's location and whether the buyer is a business or a consumer.
3. Organizer may change ticket prices and/or included benefits for future sales. Price changes do not affect tickets already purchased. If included benefits of a purchased ticket change materially more than 31 days before the Event (not including changes in speakers or talks), Organizer will notify affected attendees, who may request a full refund within 7 days of that notification.
4. Tickets are confirmed only once payment has been received in full. Tickets can be paid online with immediate confirmation through various payment options.
   1. Larger bookings and/or bookings that include sponsorship may be billed by invoice instead. Tickets booked this way are reserved until the payment deadline on the invoice. If payment has not been received within 21 days of booking, or by 14 days before the start of the Event, whichever comes first, Organizer may cancel the reservation and release the tickets for sale.
   2. If the Event is fully booked and there is a wait list, Organizer may require payment in full within 7 days to confirm an invoiced booking.
5. Tickets are bought for leisure and professional activities on a specific date. In accordance with Dutch and EU consumer law, the statutory 14-day right of withdrawal does not apply to in-person tickets. For Online Tickets, you agree that access starts upon purchase and acknowledge that the right of withdrawal lapses once access has been provided. The cancellation options below apply instead.

Ticket Changes & Cancellations by Attendees

1. Fully paid tickets may be cancelled, changed to a different ticket type (including from an in-person ticket to an Online Ticket), or assigned to a different person free of charge until April 1st, 2027.
2. Upgrades (e.g. from an Online Ticket to an in-person ticket, or from one day to both days) cost only the difference in price between the old and new ticket type. After April 1st, 2027, upgrades may be accepted at Organizer's discretion and subject to availability; not all benefits may be available.
3. After April 1st, 2027, a ticket may still be transferred to a different person at no cost by notifying Organizer at [email protected] at least 7 days before the Event. Note that badges may already have been printed, so there may not be a printed name badge for the new name.
4. Downgrades, cancellations, or no-shows after April 1st, 2027 are not eligible for a refund.
5. For a second or subsequent change request on the same booking, Organizer may charge an administrative fee of €15 + VAT.
6. If a change or cancellation results in a refund, Organizer will refund the amount due, minus any applicable fees, within 14 days, using the original payment method where possible.
7. If a change results in additional costs, Organizer will issue an invoice which must be paid in full within 14 days, and in any case before the start of the Event.

Online Tickets

1. Online Tickets give access to the live stream and/or recordings of the Event as described on the tickets page. Access details are sent by email before the Event.
2. Recordings remain available exclusively to Ticket holders through the online portal for one month after the event. After that, the recordings will be made available publicly on YouTube. 
3. Each Online Ticket is a seat for one viewer. Access links are not limited to a number of devices or viewers, and may be shared with colleagues within the purchasing organization. On an honour basis, organizations are expected to purchase one Online Ticket for each person who will watch or participate.
4. Access links may not be shared publicly or outside the purchasing organization. Public or group viewing parties, such as meetups or screenings, require prior permission from Organizer at [email protected].
5. Redistributing, rebroadcasting, or republishing the stream or recordings is not permitted. Misuse of access details may result in access being revoked without refund.
6. Organizer will make reasonable efforts to provide a stable stream. Temporary technical issues on either side, including issues with the attendee's own internet connection or device, are not grounds for a refund. If significant parts of the program cannot be streamed due to issues on Organizer's side, the recordings of those parts will be made available as soon as reasonably possible afterwards with the 1-month exclusive period starting when the full event can be watched back.

Changes or Cancellation by Organizer

1. If Organizer cancels the Event, ticket holders receive a full refund of the ticket price.
2. If the Event is postponed or moved to a different venue in Leeuwarden, tickets remain valid. Ticket holders who cannot attend the new date may request a full refund within 14 days of the announcement.
3. If the Event cannot take place in person due to circumstances beyond Organizer's reasonable control (such as government measures, venue unavailability, extreme weather, or public health emergencies), Organizer may run the Event fully online. In that case, in-person ticket holders may choose between a refund of the difference with the Online Ticket price or a full refund.
4. Organizer is not responsible for travel, accommodation, or other costs made by attendees in connection with the Event, including in the case of cancellation or postponement. Attendees are advised to book refundable travel and accommodation or take out appropriate insurance.

Conference Content

1. Organizer is committed to providing an interesting conference with a variety of topics and speakers. Speaker profiles, talk descriptions, and schedules are provided as an indication. Organizer may change content, timing, speakers, or other details as necessary, including speaker changes or cancellations. Such changes are not grounds for a refund.
2. Organizer aims to provide a full program from 9:30 to 18:00 on each Event day, but may need to diverge from the schedule. Organizer will provide alternative content or activities to fill last-minute cancellations to the extent that can reasonably be expected.

Admission & Venue

1. Attendees must wear or carry their name badge at all times while at the Venue. Badges are personal and may not be shared.
2. Organizer and the Venue may ask for identification and may refuse entry or remove anyone who does not comply with these terms, the Code of Conduct, or the Venue's house rules, without refund.
3. Alcohol will only be served to attendees aged 18 or older. Attendees under 18 must be accompanied by an adult.

Recordings & Live Stream

1. The Event will be live streamed, and Organizer and its partners will make video and photo recordings throughout the Event, including of talks, Q&A sessions, breaks, and the social event.
2. Organizer and its partners may publish these recordings, as well as an after movie or other edited formats, online or in other media. By attending, in-person attendees, speakers, and staff grant Organizer a perpetual, non-exclusive license to use their likeness in such recordings and edited formats.
3. Attendees who prefer not to be photographed or filmed can indicate this at registration and receive a specially marked lanyard at the registration desk. Organizer will make reasonable efforts to respect this, but cannot guarantee that attendees will not appear in video or photographs of the audience or venue due to physical limitations of the spaces. 

Privacy

1. Organizer processes personal data provided during booking to manage your ticket, communicate about the Event, and comply with legal and tax obligations, as described in the Privacy Policy.
2. Organizer does not share attendee contact details with sponsors or other third parties without your explicit consent or unless legally required to do so.

Safety Policies

1. The Code of Conduct is explicitly part of these terms and applies to the Venue, the social event, and all online spaces related to the Event, such as the live stream chat. Failure to comply is grounds for removal from the Event and/or Venue, or revocation of online access, without refund.

Liability

1. Attendees are responsible for their own belongings. Organizer is not liable for loss, theft, or damage of personal property. An unguarded wardrobe area will be provided within the conference room that attendees are welcome to use at their own risk.
2. Attendees are liable for any damage they cause to the Venue, its equipment, or other attendees' property.
3. To the extent permitted by law, Organizer's total liability towards an attendee is limited to the amount paid for that attendee's ticket. This limitation does not apply in case of intent or gross negligence by Organizer.

Final Provisions

1. These terms are governed by Dutch law. Disputes will be submitted to the competent court in Leeuwarden (Rechtbank Noord-Nederland), unless mandatory consumer law provides otherwise.
2. If any provision of these terms is found to be invalid, the remaining provisions remain in effect.
3. Organizer may update these terms. The version published on the website at the time of purchase applies to your booking, except for changes required by law or that are to the attendee's benefit.
